Silentroom Inc (“Silentroom,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit SilentRoom Journal at silentroom.media (the “Journal”).

By using the Journal, you agree to the practices described below.

For users in the European Economic Area (EEA) and the United Kingdom, Silentroom Inc acts as the data controller of personal data processed in connection with the Journal.


2. Information We Collect

2.1 Information You Provide Directly

  • Email address: when you subscribe to our newsletter, we collect the email address you provide.
  • Communications: the content of any messages you send us (email, feedback forms).

2.2 Analytics Data

We use Plausible Analytics, a privacy-focused analytics service that does not use cookies and does not collect personal data. Plausible collects aggregated, non-personal information such as page views, referral sources, browser type, operating system, device type, and country-level location. No individual visitor can be identified from this data. Plausible processes data in the European Union.

2.3 Server Log Data

Our hosting infrastructure automatically records standard server log data, which may include IP address, browser type, referring page, pages requested, and timestamp. Server logs are used for security monitoring and troubleshooting and are not combined with other data sources to identify individual visitors.

We do not knowingly collect personal information from children under the age of 16. If you believe a child has provided us personal data, contact us and we will delete it.


3. How We Use Your Information

We use personal data for the following purposes:

  • To deliver the newsletter: send articles, updates, and editorial content to subscribers who have opted in.
  • To improve the Journal: understand readership patterns in aggregate, identify popular content, and improve the reader experience.
  • To communicate with you: respond to messages or inquiries you send us.

5. How We Share Your Information

We do not sell your personal information. We share data only with the following categories of recipients:

  • Email service provider: we use a third-party email delivery service to store subscriber email addresses and deliver newsletters on our behalf. Our provider processes data in accordance with GDPR and is contractually bound to handle personal data only on our instructions.
  • Hosting and infrastructure providers: for operating the Journal and serving content.
  • Analytics provider: Plausible Analytics — processes only aggregated, non-personal data. No personal data is shared with or stored by Plausible.
  • Professional advisors: lawyers, accountants, and auditors bound by confidentiality obligations, if needed.
  • Authorities: when required by law, court order, or to protect our rights, users, or the public.
  • Successors: in connection with a merger, acquisition, or sale of assets, subject to the protections of this Policy.

All processors are contractually required to handle personal data only on our instructions and to maintain appropriate safeguards.


6. International Data Transfers

We are based in the United States. Where personal data is transferred outside the EEA or the UK, we rely on appropriate safeguards, including:

  • Adequacy decisions issued by the European Commission or UK government, where applicable; and
  • Standard Contractual Clauses (SCCs) approved by the European Commission, supplemented by additional technical and organizational measures where required.

7. Cookies and Tracking Technologies

The Journal does not use cookies for analytics. Our analytics provider, Plausible Analytics, is designed to operate without cookies and without collecting personal data.

The Journal may use strictly necessary cookies if required for basic site functionality (such as remembering a cookie consent preference). No advertising or third-party tracking cookies are used.


8. Data Retention

We retain personal data only as long as necessary for the purposes described in this Policy:

  • Newsletter subscriber data (email address): retained for as long as your subscription is active. When you unsubscribe, your email address is deleted from our mailing list within 30 days.
  • Server log data: retained for up to 90 days for security and troubleshooting purposes, then deleted.
  • Analytics data: Plausible retains only aggregated, non-personal statistics. No personal data is stored.
  • Communications: retained for a reasonable period to handle ongoing inquiries, then deleted.

When personal data is no longer needed, we delete or anonymize it.


9. Your Rights

Depending on where you live, you may have the following rights regarding your personal data:

  • Access: request a copy of the personal data we hold about you.
  • Rectification: ask us to correct inaccurate or incomplete data.
  • Erasure: ask us to delete personal data, subject to legal retention obligations.
  • Restriction: ask us to limit how we process your data.
  • Objection: object to processing based on legitimate interests or for direct marketing.
  • Portability: receive your data in a structured, machine-readable format.
  • Withdraw consent: where processing is based on consent (including newsletter subscription), withdraw it at any time.

US residents: several US states, including California, Virginia, Colorado, Connecticut, Texas, and others, grant residents specific privacy rights, such as the right to know what personal information we collect, request its deletion or correction, and opt out of any “sale” or “sharing” of personal information. We do not sell personal information. We will not discriminate against you for exercising your rights under any applicable state privacy law.

10. Newsletter and Email Communications

We send newsletter emails only to subscribers who have provided their email address and opted in. Every newsletter email includes an unsubscribe link. You can opt out at any time by clicking the unsubscribe link in any email or by contacting us at support@silentroom.media.

In compliance with the CAN-SPAM Act, all our emails include a clear identification of the sender (Silentroom Inc), a valid physical postal address, and a working unsubscribe mechanism. Unsubscribe requests are honored within 10 business days.

In compliance with GDPR, we will not add you to our mailing list without your affirmative consent. We do not use pre-checked boxes or treat inactivity as consent.


11. Data Security

We implement reasonable technical and organizational measures to protect personal data, including encryption in transit (TLS) and restricted access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

If we become aware of a personal data breach that is likely to affect you, we will notify you and the relevant authorities as required by applicable law.


12. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date at the top reflects the most recent changes. Material changes will be communicated by email to newsletter subscribers or by a prominent notice on the Journal. Continued use of the Journal after the effective date constitutes acceptance of the updated Policy.
